Tuition fee refund policy

The following terms and conditions of tuition fee refund have been established by Higher Authorities of the WUE University.

I. Refund is NOT possible if:

• A visa has been issued to the candidate by the Polish Embassy.
  To obtain a refund, the candidate must cancel the visa.
• The candidate submitted a falsified visa decision.

II. Refund is PARTLY possible if:

• The admission procedure has been completed and the student has started attending classes, but has not obtained any certificates or documents from the university that would allow them to apply for a residence permit in Poland. The refund will be reduced by the cost of education for the period of study.

III. Refund is possible if:

• The visa has been refused by the Polish Embassy.
• The candidate was unable to book a visa appointment.
• The candidate encountered a fortuitous event, such as a medical emergency, etc.
• The commencement of studies has been cancelled by WUE.
• The candidate did not receive visa documents from the university.

IV. Refund procedure:

Refunds are processed only upon the candidate’s request.

To apply for a refund, the candidate must submit the following documents:

a) If the visa was refused:

• official refusal letter from the Polish Embassy,
• completed refund form.

b) If it was not possible to book a visa appointment:

• completed refund form,
• additionally, the candidate will be asked to attend an interview with a consultant via Zoom.

c) If the candidate was unable to travel to Poland due to unforeseen circumstances:

• additional documents may be required, e.g., a medical certificate.

All documents (carefully checked and error-free) must be uploaded to the recruitment platform: www.admissions.moderna.edu.pl, in the candidate’s profile. After uploading the documents, please send an email notifying us at refunds@moderna.edu.pl.

The WUE Recruitment Office will begin the verification and approval process. Sending multiple applications or reminder emails will not speed up the procedure.

All documents must be completed in capital letters and be legible.

Important information about refund policy:

• The refund process may take up to 3 months due to international regulations.
• A fixed amount of 300€ is being deducted as entry fee, bank and handling charges.
• If the candidate’s bank refuses to accept the refund and the funds are returned to the university’s account, an official statement confirming the bank’s decision must be provided.
• If the transfer is rejected again, the entire refund process will restart.
• The beneficiary (candidate) bears the costs of subsequent transfers, exchange rate differences, and bank fees resulting from incorrect data.
